The meeting
was called to order at 7:26 pm.
Minutes from December 10, 2003, were approved.
Treasurer's Report: Checking $9,446.50; Gaming $5,423.42; Savings

Committee
Reports
Trail Committee:
Bill Waddell suggested that for next year's Chugiak 50,
there either be two complete teams of volunteers to put on the race
(e.g.,
trail guards and groomers, marshals, sled holders etc.), or the
Chugiak 50
should be moved to a different weekend. The day is too long for
one team of
volunteers to manage comfortably. The group agreed that more volunteers
are
needed to put on races and this would be a priority for the club.
A member
suggested that each person who typically volunteers for a specific
job at a
race write down the duties for that job so that new volunteers would
know
what was expected. If you volunteer regularly, tell us what you
do so we
can get you help!
Businessperson's
Race Committee: Help is needed for the Classic and
Businessperson's races on January 17 and 18, including trail guards,
groomers with snowmachines, sled holders, and set-up and break-down
crews.
Ron will be out of town for the race and so will Harold. Letters
have been
mailed out to businesses and Sandi, Ron, Val, and Harold have been
making
phone calls. Lexi volunteered to manage the Businessperson's race
on the
day of the race, ensuring that volunteers are doing what they need
to be.
She also volunteered to match businesses with teams as applications
come in.

No race
marshal has been identified for the Businessperson's or Classic.
Val
checked with several caterers for the open house during the Businessperson's
Race. Several additional possibilities were mentioned and will be
passed
along to Val. Ron will contact Board members by phone about adding
money to
the Classic purse.
Merchandise
Committee: The merchandise needs to be organized and
inventoried. Jeanne will purchase a set of Rubbermaid tubs for merchandise
storage, as well as two recycling bins for the clubhouse.
Old Business
Clubhouse:
Jim Welch wanted it noted that those who worked on the clubhouse
did a fine job in its construction. Lexi explained that the use
agreement
that John Rodda of Parks & Rec had envisioned involved Parks
& Rec paying
for maintenance of the clubhouse, and the club paying fees. The
actual use
agreement as it is currently written says that the club will maintain
the
clubhouse and no fees will be collected. The club needs to clarify
what
fundraising activities it can have at the clubhouse but it appears
that
fundraising should not be an issue. In fact, Parks & Rec also
must provide
trash cans and liners, potentially negating the bear-proof container
issue
of several months ago.
Stained Glass:
Since mention of commissioning a stained glass piece for the
clubhouse of the club logo in honor of Myron Gavin at the last meeting,
several members have mentioned an interest in creating the piece.
Anyone
who works with stained glass and is interested in making the piece
is
encouraged to contact the club. The club would be interested in
seeing a
sample work (or photo of one) and a general idea of the cost of
creating the
piece.
New Business
Night Race:
There will be a Fun Run on Tuesday, December 23rd at 7pm. It
is a Junior/Senior event and includes a 1,2,3, and 4-dog race.
Meetings:
There will be no meeting on Wednesday, December 24th (Christmas
Eve), or Wednesday, December 31st (New Year's Eve).
Next Meeting
A general meeting
will be Wednesday, January 7, 2004, at 7pm at the new
clubhouse. Race trophies and purses will be distributed for previous
races.
There may potentially be an education program if one can be planned
between
now and then. Look for follow-up emails about the education program.
